Document management, from one document to the full view

The highlights

Four tabs, one archive.

This is document management from the real product. The tabs at the top are this page's whole agenda.

Document management with its tabs, search, filters and the document list

More than filing

Documents, signatures, retention policies, GoBD compliance: the four tabs are this page's four chapters - and the reason this is an archive, not a folder.

Finding, not searching

Title, document number, tags - plus type, status and category as filters. The contract turns up by what is in it, not by its filename.

Every row carries its label

Number, type, status, size, tags, date: the archive knows what it holds. Retention and auditability grow out of exactly these fields - not out of discipline.

See it working

Document store with versions, retention periods and full-text search

One record, a traceable history, full text across everything.

The document list with number, type, status, size and tags

Every row carries its label - the archive knows what it holds.

Retention policies per document type with years and automation

Invoices ten years, contracts six - as a rule, not a resolution.

The GoBD view with inventory counters and the integrity check

Locked, active, checksum - proof is one click, not a search.

Sound familiar?

An archive is tested on exactly one day. Until then nobody notices whether it is an archive or just a folder with files in it.

The auditor asks for a receipt from 2021.

It is on a network drive, in a folder created by a colleague who has left. Finding it takes hours - and proves nothing about the state of the document.

Our answerFull-text search across everything you may see, with document number, type, category and tags. Plus an access log showing who opened which version and when.

Only the tax adviser knows the retention periods.

So nothing is deleted. Personnel files from 2009 sit next to yesterday's invoices - both a risk, one too early, the other too long.

Our answerRetention rules per document type, applied automatically. GoBD compliance is its own area, not a claim in a brochure.

The accountant needs access - so files go out by email.

After that they exist twice, in a mailbox you do not control. There is no calling them back.

Our answerShares instead of sending files. Access stays inside the archive, can be revoked, and appears in the log.

At the audit you find every document - and who opened it.

In depth

9 features.

Every one with its own page in the handbook - and here, chapter by chapter, shown and explained.

01Order

One record. Every version.

contract_final_v3_new.pdf is not a version, it is a cry for help. Here a document has a record with a number, a type, a category and tags, and its versions stack instead of scattering. You find things by full text across everything you are allowed to see, filtered by type, status and category.

1 record

per document, with a traceable history beneath it.

The document list with number, type, status, size and tags

Every row carries its label - the archive knows what it holds.

  • Versions instead of contract_final_v3_new.pdf
  • Full-text search across everything you may see
  • Filter by type, status and category

02Retention

Keeping and deleting by rule, not by feel.

Invoices ten years, applications six months, and both on their own: retention rules hold per document type, set once. Nothing vanishes early, nothing lingers forever, and GoBD compliance is its own area rather than a footnote. That is the difference between an archive and a folder full of files: the archive knows the law.

0

documents deleted early. The rule does not allow it.

Retention policies per document type with years and automation

Invoices ten years, contracts six - as a rule, not a resolution.

  • Retention rules per document type
  • GoBD compliance as its own area

03Proof

Who, when, which version.

An archive is audited on exactly one day, and on that day only one thing counts: being able to prove. The access log records who opened which version, and when. Signatures are visible on the document. And sharing with clients and accountants runs without sending files, so without copies in other people's mailboxes that can never be recalled.

100%

of accesses in the log. Proof instead of assertion.

The GoBD view with inventory counters and the integrity check

Locked, active, checksum - proof is one click, not a search.

  • Access log: who opened which version, and when
  • Signatures visible on the document

04Filing

Filing happens where the work is.

Uploading always works - but most documents come out of a process, and that is where they get filed from: with a document number, type, category and tags. An archive that demands a detour via the desktop does not get maintained. This one does not demand it.

  • Upload, or straight out of a process
  • Document number, type, category, tags

Why it pays off

Retention runs itself

Rules per document type. Nothing is deleted early and nothing lingers forever.

Every access logged

Who opened which version, and when. At an audit that is the difference between proof and assertion.

Versions instead of file chaos

One record with a traceable history - no more contract_final_v3_new.pdf.

How it works

  1. 1

    File it

Upload, or straight from a process.

  2. 2

    Set retention

    One rule per document type.

  3. 3

    Find it again

Full text across everything you may see.

Handbook:Overview

What it costs

A plan per size.

You pay per gigabyte. An archive nobody may look into is worthless - so access costs nothing.
